Convert credit card statements to Excel: payments, refunds, chargebacks

Credit card statements have unique transaction types—payments, refunds, chargebacks, interest charges—that need special handling in reconciliation.

Credit card transaction types

• Purchases: Positive amounts (debits to the card account)
• Payments: Negative amounts (credits reducing the balance)
• Refunds: Negative amounts (credits from merchants)
• Chargebacks: Credits that may appear days or weeks after the original transaction
• Fees: Interest, late fees, annual fees, foreign transaction fees

Reconciliation workflow

1. Convert the statement PDF to Excel, ensuring payment transactions are clearly identified.
2. Separate purchases from payments/refunds using transaction type columns.
3. Match payments to your accounts payable records (if the client pays from a bank account).
4. Categorize fees separately for tax and accounting purposes.
